Projects: Candidates

CANDIDATES TAB:
Within this section you will learn the various features and options available to you under the "Candidates" tab. You will be shown an overview of the following:

1. Add a Candidate to a Project
2. Export a Report
3. Grid View
4. Invite a Client to a Project

If you are looking at a person’s profile from inside of a project, then you’re looking at their Candidate Record; this record will pull a good deal of contact & employment information from the person's Contact Record, but will only show you Notes and Files that are relevant to this project in particular.

Remember that only the Notes that are written within a person's Candidate Record will be visible in the project, and to the clients you invite to that project. Clients will not be able to see notes that are written on the person's Contact Record.

Do all attachments on a person’s record automatically flow through to a Candidate record?

  • All “general” information about a Contact is visible on the Candidate record: This includes all contact information, work history, education history, bio etc.
  • The most recent resume saved on a Contact will be made visible on the Candidate record.
  • All other attachments on the Contact record are NOT visible on the Candidate record.
  • All attachments on a Candidate record and/or related notes on the Candidate will be visible and contextualized on the Contact record.
  • Notes with attachments added as notes from the client and/or the team will be related to the candidate on both the candidate record and will flow on through to their contact record.
  • Notes with attachments added to the contact record will NOT be visible on the candidate record.

Add a Candidate:
You can manually add a new candidate or select from a person already listed within your firm.

Export a Report:
Project Status Report = A summary list of candidates and a detailed page for each candidate.
Project Details Report = All the other info about the project (other than data on candidates)
Summary Status Report = A summary list of candidates
Candidate Export List = Excel export of candidates

Grid View:
The Grid View is like a spreadsheet or table view of all the candidates within your project. This offers a quick and easy way to sort, filter and manage your candidate list. This view encompasses lots of options and tools including: update Ranking, change Status, edit color Category, change VisibilitySearch for a candidate & much more!

Invite a Client to a Project:
Steps to take BEFORE Inviting a Client to view your project in Clockwork:

  • Contact grab the clients profile from LinkedIn so when they log in they’ll see their profile picture
  • Ensure there are some benchmark candidates loaded to the (project at minimum)
  • Consider adding a color legend in the headline area of the Dashboard tab to define the way your team is using the category colors and determine if you want to make it visible to your Client
  • Ensure you’ve properly filled out the “Position” tab with the critical detail relates to the project (i.e. job description, position details, target candidate overview, and the specific role “Requirements” along with location and compensation in the “Position Details” section).
  • Consider adding a “Client Login” button on your firm’s website that leads directly to your firm’s instance of Clockwork.

4 Point Consulting Client Intro Sample:

Hi!
Thanks for logging into your project(s) in Clockwork.Projects can look a little sparse until we get phone screens going. You can make a choice to see the WHOLE pipeline or just the candidates we think you will like. Please feel free to let us know what your preference is, we can change it very quickly.Once we LOVE someone and have spoken to them, we will turn them "on" in Clockwork for you to view as a Client to Review. The system will automatically email you with our notes from the screens. You can then comment back with any thoughts and your availability to interview (or no, that you disagree- but if so, please tell us why so we can learn more quickly what a no is). If you reply to the notifications, it will auto-record in the project and we should be notified. After they are a candidate, we can then move them through the stages accordingly as we have agreed upon in our contracts:

  • Interview with Client (means interviewing with you)
  • Candidate  (means moving to 2nd round)
  • Finalist (means serious contender)
  • Offer Extended
  • Placed

We can also Disqualify people for various reasons:

  • DQ by Client (meaning, by you guys)
  • Withdrawn
  • And so on... you'll see loads of reasons

If you have any questions, please let myself or your project manager know.
Thank you!
